Short answer
Use an error workflow to surface technical failures and a separate outcome ledger to catch jobs that never reach an acceptable result. This proposed n8n pilot uses fictional data and sends no real customer messages. It is not a completed reliability benchmark.
1. Define what counts as done
Choose a draft-only FAQ workflow. A successful job means the draft passed your checks and entered the review queue. A model request returning HTTP 200 is only an intermediate event. Define job states such as received, processing, needs_review, completed and failed.
Create a small ledger with job_id, workflow_version, state, started_at, last_updated_at and error_category. Store identifiers and outcomes rather than copying prompts or customer messages. Give one person responsibility for unresolved jobs and decide an expected completion window before testing.
2. Configure the error workflow
n8n documents an Error Trigger workflow that can be assigned in the main workflow's settings. Create and save that handler, then select it as the main workflow's Error workflow.
Have the handler normalize workflow identity and a short error category into a private operational alert. Some execution identifiers are absent when the trigger itself fails or when execution data is not saved. Use optional fields and a fallback summary so the handler does not fail while reading a missing property.
Keep secrets and raw error bodies out of notifications. An exception may contain an uploaded document or request header. Send a safe category, job reference and restricted diagnostic link when available. Verify who can open that link.
3. Detect semantic failures separately
An empty or unsupported answer may be technically successful. Route invalid drafts to needs_review rather than completed. If the job cannot proceed, n8n's Stop And Error node can deliberately fail an execution; choose this intentionally rather than treating every rejection as an infrastructure incident.
Use a scheduled check against the ledger to flag processing jobs older than your chosen window. This catches stalled jobs and paths that never trigger an error. Alert only when a job newly becomes overdue, then update or resolve that same incident to avoid flooding the owner.
4. Run four drills
| Drill | Expected observation |
|---|---|
| Invalid test credential | Handler identifies the failed stage without exposing the credential |
| Provider timeout | Job remains unresolved until completion is reconciled |
| Valid response with no useful answer | Draft enters review instead of being marked complete |
| Handler destination unavailable | Independent ledger check still reveals the unresolved job |
Test through a nonproduction trigger invocation appropriate to your setup. Do not assume a manual editor run exercises the same Error Trigger behavior as an active workflow. Confirm the automatic path before relying on alerts.
5. Separate recovery from notification
An alert should not automatically repeat a consequential action. Inspect the target system before retrying a job whose completion is uncertain. Use the same job identity and your existing duplicate-prevention rule. Record the eventual outcome so the alert can close.
For a small initial release, require every injected failure to appear in the ledger, every overdue job to reach an owner and no alert to contain the synthetic secret used in testing. These are proposed release criteria, not a guarantee of future uptime.
Review unresolved age and resolution time weekly. Continue with duplicate prevention and execution-data minimization.

Frequently asked questions
Does a successful model request mean the job succeeded?
No. Track whether the expected, validated business outcome was reached.
Should an error alert automatically retry a write?
Only with established recovery and duplicate-prevention controls. Reconcile uncertain completion before retrying consequential actions.
