The short answer

The top five AI tools for small businesses in 2026 are ChatGPT for writing and thinking, Canva for design, Metricool for social media, Fathom for meeting notes, and Zapier for automation. Each has a free plan, each solves a different bottleneck, and the paid versions together cost less than a few hours of contractor time per month.

Don't buy all five at once. Pick the job that wastes the most time in your week and start there.

1. ChatGPT: the general-purpose assistant

Most small-business AI value comes from one capable assistant used every day: drafting customer replies, turning notes into a proposal, writing a job post or summarizing a supplier contract for questions to ask a lawyer.

OpenAI's pricing documentation lists Plus at $20/month. Business costs $25 per user per month, or $20 billed annually, with a two-user minimum, and states that business data is not used for training by default. Choose Business once more than one person handles customer or financial information.

If you are deciding between assistants, our Claude vs ChatGPT for small business comparison covers when Claude is the better fit.

2. Canva: on-brand design without a designer

Canva covers social graphics, flyers, menus, signage, presentations and short videos, with AI features for resizing, background removal and first-draft copy. Brand kits keep fonts, colors and logos consistent across everyone who designs.

The free plan is enough to start. Canva's pricing page blocked automated verification, so confirm current Pro and Business pricing before upgrading.

3. Metricool: social media in one calendar

Metricool plans, schedules and reports on posts across networks from one calendar, and includes an AI assistant for captions. The free plan covers one brand with up to 20 scheduled posts a month and 30 days of analytics. Starter begins at $20/month and removes the publishing cap.

It earns its place when posting is inconsistent because it happens "whenever someone has time." Batch a month of posts in one sitting and let the calendar run.

4. Fathom: meeting notes you don't have to write

Fathom records video calls, transcribes them and produces a summary with action items. The free plan lists unlimited recordings and transcriptions with instant AI summaries. Premium is $16/month billed yearly ($20 monthly), and Team plans start at $15 per user per month billed yearly with a two-user minimum.

Before you record: tell everyone on the call, and follow consent rules where you or your customers are located.

5. Zapier: automation between the apps you already use

Zapier connects thousands of apps so routine handoffs happen automatically: a web-form lead lands in your CRM, a paid invoice triggers a thank-you email, a new booking posts to your team chat. The free plan includes 100 tasks a month and basic access to Zapier's AI agents. Professional starts at $19.99/month billed yearly ($29.99 monthly).

Automate a process only after you have done it manually and it works. Automating a broken process just breaks it faster.

What the full stack costs

Using every free plan costs nothing. For one owner, ChatGPT Plus, Metricool Starter, Fathom Premium and Zapier Professional cost about $76 a month at the prices above, plus a Canva paid plan if you need one. Our AI tools under $50 a month guide shows how to trim that further.

Ground rules before you roll it out

  • Don't paste customer payment details, health information or passwords into any AI tool.
  • Keep a human review step for anything a customer will read.
  • Write down which tools are approved and for what. Our small business AI policy template is a starting point.
  • Review subscriptions every quarter and cancel the ones nobody opened.

How to start this week

List the three tasks that eat the most of your week. Match each to one tool above, use only the free plan for two weeks and record the time saved. Upgrade only the tools that clearly paid for themselves.
